Starting up the rental procedure, just follow the steps and find practical information about the contract, terms & conditions of renting a room at the College Campus Meppel.

Sign up: how does it work?

  • Step 1: Sign Up!

    Looking for a room on short notice! Sign up and proceed to step 2,3 & 4!

    If you are looking for a room for the academic year September 2023, please sign up!, and let us know if you would like to have a (skype) tour around the College Campus (step 2). Beside this, you don’t have to take any further steps yet, we will put you on the waiting  / interest list for next academic year. Around the end of April 2023 you will receive a message from us that we will start renting out the available rooms. Note that we work on a first come, first served basis so the sooner you apply the better the chance of getting a room of your own choice!

  • Step 2: Schedule a tour/intake

    After you sign up and you want a tour on the Campus live or with skype, just let us know! Then we will schedule an appointment. If you already have visited the Campus, we will schedule an intake. This is a great moment to meet each other and you can ask us any questions you have about living at the College Campus.

  • Step 3: Choose a room

    Please check out the floorplan for our most current availability 540 & 542

    Orange: In option
    Red: Sorry, already taken.

    Choose your room top-3 and fill these in at the registration form at step 4. Please take into account that more students are looking at the same floorplan at the same time. If none of your top 3 choices are available anymore we will let you know so you can choose again. If a room of your top 3 is still available we will take this in option for you after receiving your registration.

  • Step 4: Registration

    Here you need to download the registration form and fill this in with your personal data and room preference (top 3). Once we got this information we are going to check if a room from your top 3 is available. If it is, as from this moment we will take that room it in option for you. You will receive an e-mail with this information and the request to proceed to step 5. If your rooms of preference are no longer available, you will get an e-mail so you can check the floor-plans out once again and send us a new room preference top 3!

    Please take notice this can take up to 14 days before you will get an answer.

  • Step 5: Complete your registration

    To complete your registration we need some additional information from you. If all points below apply on your situation, please send all the documents.

    • If you receive a parental contribution to pay your rent we need a guarantee statement signed by (one of) your parents or guardians. Download your: Guarantee Statement
    • A photo of  yourself for in our file.
    • A document of enrollment in a school or university
    • If you are working, a recent pay slip
    • If you receive student grants in any form, a statement that proves that income
    • Last but not least we need to know your definite moving in date* (Check in). This to determine your first month rent for the last step in your placement.

    If you prefer to send the documents by email, that’s fine too. However please send it in 1 mail and not separate, otherwise we get to many mail from to many students.

    After we received your documents and exact moving in date, we will prepare your contract and calculate the total amount your need to pay for placement. Then we will send you an e-mail with your contract for you to sign and the invoices. These invoices need to be paid al least 14 days prior to your moving in date.

    *Please keep in mind when planning your trip to Meppel. Moving in can only be on a working day; Monday – Friday between 9 am & 4 pm (09.00 – 16.00). 

  • Step 6: Sign the documents

    After we received your documents and exact moving date, we will prepare your contract and calculate the total amount your need to pay for placement. Please keep in mind this can take two weeks before you receive these.

    You will receive an e-mail with your contract for you to read carefully. When you agree you need to sign the contract, you will receive the invoices. For more information about these, please see the next step; Payment.

  • Step 7: Payment

    You will receive your invoices and your contract in an e-mail. This email will contain your contract and the invoices. The invoices will have to be paid 14 days before you move in. The costs depend on which room you have chosen, but below this you can see an overview of what to expect.

    Please note: The total amount can only be transferred through online banking for the first time and needs to be paid 14 days prior your moving in date.

    Monthly rent Payment:

    For the payment of the rent we use a direct debit, this will take place monthly around the 27th. Once you have moved to Meppel, you must register to get your social security number (BSN Number). You must apply for a Dutch bank account with this number to use this method. We cannot use a foreign bank account for direct debit. Please note that you should arrange this as soon as possible. Students in the Netherlands can usually get a free bank account.

    The first invoices will have to be paid manually to the landlord, the details for that are stated below:

  • Step 8: Schedule your check-in

    Last but not least we will set a time/date for your check-in at the College Campus. Please take notice this needs to be on a business day: Monday – Friday between working hours (09.00 – 16.00).  Please keep this in mind when planning your trip to The Netherlands.

    At your check-in we will:

    • Check the room and sign the check-in document.
    • We discuss and sign the house-rules.
    • Handover the keys.
    • Talk about the basics you need to know.

Terms and conditions

  • Contract

    Your rental contract starts on the day you move in. This can be any day if it is a business day, since we only work business days and hours.
    If you sign a contract for a room on the College Campus the first twelve months are fixed. After these initial twelve months  you can terminate the contract. You can terminate the contract with a one month notice. We as a lessor also have the possibility to do so, but we have a three-month notice period.

     

  • Deposit

    The deposit for a room at the College Campus Meppel is twice the monthly rent. Once you have terminated your contract and we have completed the Check-out and your room is left in its original state, we will inform our administration that the deposit can be refunded to you. If there are any damages to the room or unpaid rent, these costs will be taken out of your deposit. The refunding process of the deposit can take up to 8 or 10 weeks.

  • Monthly rent payment

    We know it will take a few weeks to receive your social security number (BSN number). Up until then you need to pay the rent manually. The payment of the rent must be made before the end of the month for the following month. So, for example, the rent for February must be paid at the end of January. We do not send out any invoices for the rent, if needed you can ask for one. In your contract you can find the amount that needs to be paid.

  • Service costs

    Our rental prices include a € 195,70,- service fee. These service fees consist:

    • Waste removal
    • Green space maintenance
    • Paying for a caretaker
    • Cleaning general spaces (please check the house rules about the cleaning task)
    • Utilities (heating, water and electricity)
    • Facilities (theatre, entertainment spaces, bike shed etc.)
    • Internet
    • Furniture
  • Houserules

    Rules are not always fun, but they are essential. We would like to ensure that we all keep the Campus fun and liveable. You live with a maximum of 80 fellow students in the Campus building. And not everyone has the same rhythm and habits. That’s ok, but we come a long way with respect for each other and other cultures. So take each other into account and talk to each other if you experience differences of opinion and/or inconvenience. Stick to the mutual agreements made and the rules of the College Campus and NHL Stenden has. If you are unable to reach a mutual agreement or if you notice serious inconvenience from fellow students, please notify us asap.

    General house rules:

    • In case of non-compliance with these house rules or causing nuisance in whatever form, we work with a warning system. We will contact you after reporting or detecting a violation and of course initiate the conversation. However, if necessary, an official warning will be issued and with 2 warnings we will terminate the rental contract. In addition, a fine can also be imposed on one person, or entire or partial departments of the Campus following violation of the rules or non-compliance with the cleaning agreements that have been made, as a result of which the College Campus has had to incur additional costs. Such as blockages in the toilet/sewerage, extra cleaning and/or repairs.
    • The entire site is non-smoking. It is also forbidden to smoke in your own room in any form.
    • The use of drugs in and around the building is prohibited.
    • It is prohibited to enter the emergency balconies outside of an emergency situation. This is an escape route and must be free at all times.
    • Keep the escape routes/fire doors on the floors and ground floor clear at all times.
    • Use normal manners and respect everyone present on the Campus. Bullying is not tolerated in any form. Nobody should feel unsafe in their own living environment.

  • Registration Meppel City

    All international students need to register in the municipality of the city they study in within five days of arrival. You have to do this at the city hall. We recommend you arrange this as soon as possible as you will then be given a social security number. You will need this for official paperwork like opening a Dutch bank account. Note: you need to get an additional form from the City Hall to open a bank account. Remember, it can take up to 3 weeks to receive your BSN number.

    Please bring copies (you will need to hand them in) and show the originals of the following documents:

    • Passport or ID card
    • Rental contract of your student room/house
    • Original birth certificate with the official translation (if it’s not in Dutch or English)
    • NHL Stenden letter of admission (received by email during the application process)
